Management review: inputs, outputs and an effective meeting

How to prepare the input package, run the meeting and follow up decisions and actions for the management review under ISO 9001 clause 9.3.
The management review often turns into a presentation prepared in a hurry before the audit. Done well, it is the most valuable meeting in which top management takes decisions about the quality system based on data.
The input package
Collect the data into one package and freeze it before the meeting; numbers that do not change during the meeting keep the discussion focused. Typical inputs:
- Status of actions from previous reviews
- Changes in internal and external issues
- Customer satisfaction and feedback from interested parties
- Achievement of quality objectives
- Process performance and product conformity
- Nonconformities and corrective actions
- Monitoring and measurement results
- Audit results
- Performance of external providers
- Adequacy of resources
- Effectiveness of actions taken on risks and opportunities
- Opportunities for improvement

The meeting
The meeting should not be a report-reading session. For each input ask: what do we see, what do we decide? Record participants and date, and write decisions briefly and measurably.
Outputs
Outputs are decisions on improvement opportunities, needed changes to the system and resource needs. Each decision should become an action with an owner and a date, and its status reported at the next review.
How often?
The standard does not set a frequency; it expects planned intervals. Most companies hold it once a year; in fast-changing environments every six months can be more effective.
